Who we are and what this policy covers

Spira AI LLC (“Spira,” “we,” “our,” or “us”) builds AI-powered charting software for radiation oncology. This Privacy Policy explains how we collect, use, and share information when you visit spira-ai.com (the “Website”), request a demo, or receive emails from us.

This policy does not cover the Spira application or any patient information processed through it on behalf of our healthcare customers. That information is handled under our agreements with those customers.

Information we collect

Information you give us

When you request a demo, we collect:

• Your first and last name
• Your work email address
• Your organization
• Your phone number, if you choose to provide it
• Your role and practice setting
• The EHR and oncology information systems you use, if you choose to tell us
• Anything you write in the message field

We also keep the emails and other messages you send us.

Please do not include patient or other protected health information in the demo form or in emails to us.

Information collected automatically

When you visit the Website, we and our service providers automatically collect certain technical information, such as:

• Your IP address and approximate location (city or region)
• Browser type, device type, and operating system
• Pages you view, how long you stay, and how you interact with them
• The website or link that referred you

We collect this through cookies and similar technologies, described below.

How we use information

• To respond to your demo request, schedule a demo, and send you a confirmation
• To answer your questions and communicate with you
• To send occasional product updates and news about Spira (see “Marketing emails” below)
• To understand how the Website is used and to improve it
• To protect the Website and our forms from spam, abuse, and security threats
• To comply with legal obligations and enforce our terms

Marketing emails

When you request a demo, we add you to our mailing list so we can send occasional product updates. Every marketing email includes a link to unsubscribe, and you can also unsubscribe at any time by emailing hello@spira-ai.com. Even after you unsubscribe, we may still send you messages related to a demo or other request you’ve made.

Cookies and analytics

We use Google Analytics to understand how visitors find and use the Website, for example which pages are viewed most and where visitors come from. Google Analytics uses cookies and similar technologies to collect the automatically collected information described above. You can learn how Google uses this data at policies.google.com/technologies/partner-sites, and you can opt out with the Google Analytics opt-out browser add-on.

To keep spam and bots out of our demo form, we use Cloudflare Turnstile, which checks limited browser and device signals to tell people and automated programs apart.

We do not use cookies to show you advertising. You can block or delete cookies in your browser settings; the Website will still work without them. Our Website does not currently respond to browser “Do Not Track” signals.

How we share information

We do not sell your personal information, and we do not share it for targeted advertising. We share information only:

• With service providers who help us run the Website and our communications, such as website hosting (Hostinger), email delivery (Amazon Web Services), email and analytics (Google), and spam protection (Cloudflare). They may use the information only to provide their services to us.
• For legal reasons, when we believe it’s required by law or legal process, or needed to protect the rights, property, or safety of Spira, our users, or others.
• In a business transfer, such as a merger, acquisition, or sale of assets, in which case your information may be transferred as part of that transaction.
• With your consent, or at your direction.

How long we keep information

We keep your demo request and contact details until you ask us to delete them or unsubscribe from our mailing list, unless we need to keep certain records longer to meet legal obligations. Website analytics data is kept according to our Google Analytics data-retention settings. Records our servers use to limit form abuse store only scrambled (hashed) versions of IP addresses and are cleared within 24 hours.

How we protect information

We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted (HTTPS) connections to the Website and restricted access to the information we collect. No method of transmission or storage is completely secure, so we can’t guarantee absolute security.

Your choices and rights

You can ask us to:

• Tell you what personal information we have about you
• Correct information that’s inaccurate
• Delete your information
• Stop sending you marketing emails

Depending on the state you live in, you may have additional rights under state privacy laws. To make a request, email hello@spira-ai.com. We may need to verify your identity before acting on a request, and we will not discriminate against you for exercising your rights.

Children

The Website is intended for healthcare professionals and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, please contact us and we will delete it.

Where we operate

The Website is intended for visitors in the United States, and the information we collect is stored and processed in the United States.

Links to other websites

The Website may link to other websites and services, such as LinkedIn or our trust center. Their privacy practices are governed by their own policies, not this one.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll post the new version here and update the “Last updated” date above. If we make material changes, we’ll take reasonable steps to let you know.
